MPDSL, its directors and employees will process and secure your data, as data controllers, in line with current legislation, to include GDPR. Data is collected on the following basis: Consent, where you consent for MPDSL to capture and process your data, through contractual obligations and Legal Compliance. Your personal data will be processed on a Legitimate Business Need basis.
When do we collect your personal data?
This Privacy Policy relates to data collected through this website (via it’s Contact Us page), through our email systems (when you send us an email) and all other forms of business communication, such as by letter, verbally over the phone, during face-to-face meetings, etc.
The personal information collected is to undertake business communications with you and it is usually limited to your name, your address, phone number and your email address. The address could be you place of work, head office address or your personal home address as supplied to MPDSL by you.
MPDSL do not collect data from any third parties, other than from publicly available company websites for direct marketing purposes.
How do we use personal information?
Your personal information is used solely for the purposes of contacting you about legitimate business purposes. This includes, but is not limited to, contacting you via phone, email, letter, etc. Also, when answering your emails, setting up business accounts, processing contracts, raising estimates, quotations and invoices and all other similar legitimate business purposes. We will also use your information for legitimate marketing purposes, with appropriate opt out options and to meet our legal obligations
What legal basis do we have for processing your personal data?
MPDSL wish to provide you with the most professional and courteous service as possible and, under GDPR Legitimate Business Use terms, your data will be processed to meet that requirement. Other than collecting your basic contact information, no other categorised or special data will be collected and processed by MPDSL.

When do we share personal data?
Under legitimate business interest, your data will be shared with our accountant in the form of contact information on copies of invoices. Other than for law enforcement reasons, we do not share your personal information with any other third party.
Where do we store and process personal data?
Your personal data will be stored on MPDSL controlled and maintained computers in the United Kingdom and on secure cloud services in the form of files held for backup purposes. MPDSL regularly monitor the data safety procedures published by cloud service provider/s and for compliance and to ensure data security and integrity is maintained.
How do we secure personal data?
To ensure that your data is processed as securely as possible, it will be captured to as few locations and data sources as possible. Those sources are protected through the use of data encryption technologies, current anti-virus, and web security software. Access to these data sources will be limited to as few people as are absolutely necessary to process our business requirements. Where any third party is to be given legitimate access to resources with your personal data, MPDSL will ensure that our privacy policy is communicated to those individuals and they will either comply, or have their own data security measures which either meet or exceed those of MPDSL.
How long do we keep your personal data for?
MPDSL retain your personal data for as short a time as possible. This will be to comply with UK law and for the length of any business contracts and other agreements that we have with you. This is currently six years for accounting and similar business documents.
Once no longer required, your personal data will be disposed of through deletion from all data sources where your personal data resides. Where the device itself is to be retired and or disposed of, this will be undertaken by a professional computer disposal company, or the hardware will be physically destroyed beyond future use by MPDSL.
Your rights in relation to personal data.
Under GDPR rules, MPDSL respect the rights of our customers to access and control their own personal data. Access to your personal information can be requested by emailing MPDSL and making a ‘Data Access Request’ under the terms of GDPR. Access will be provided in the form of a copy of all of the personally identifiable information that we hold on file for you. This information will be supplied to you in a reasonable period of time, to not exceed two weeks. Where any delay is likely to be encountered, MPDSL will communicate that fact and the reasons in a timely manner. You have the right for any data that we hold to be corrected and deleted as you require. You accept that by requesting that your data is deleted from our systems, we will lose the ability to contact you in the event of an important communication being required.
The only time when a data deletion request will be declined, is when the data is, or could be, required for UK legal purposes, or where MPDSL requires that information to fulfil its legal requirements under UK law.
Where you are not completely satisfied with the response from MPDSL, you have the right to lodge a complaint with the Information Commissioner’s Office in the UK.
